The catalogue journey decided what your products vary by and how they are costed. This one opens a single product and works through its form tab by tab, in the order the setup demo walks it: what the product is, how it is designed, what it costs and sells for, how it is identified, which options it offers, how the factory cuts and picks it, what the salesperson and the buyer see, how it moves, where it posts, and finally how the system watches its stock and puts it away.

By the end you will be able to

  • Create a product and say whether it is sold, bought or both
  • Choose goods, service or combo and decide what is tracked as stock
  • Link a window or door to the FrameStudio designer, or keep a saved design as a template
  • Set price, cost, taxes, invoicing policy, category and price engine so every document inherits them
  • Give products the reference, barcode, warranty and coupler flag the office, the scanner and the installers rely on
  • Add attributes for real options, with extra prices, and keep sizes out of them
  • Configure bar cutting, profile drawings, hardware usage and package quantities for the factory
  • Fill the Sales, Purchase, Inventory and Accounting tabs the way each department reads them
  • Read the product forecast and let reordering and putaway rules run the rack for you

Before you start

  • Administrator rights, with the Inventory, Sales and Purchase apps installed
  • Journey 4 done: categories, attributes and units already exist, so this journey only picks them
  • Your system profiles configured, or the designer has nothing to draw with
  • A real profile, a real hardware item and a real window in mind to set up as you go

Open the product form

  1. 01 Open Inventory, the product list and a new product Open Inventory from the application sidebar, open Products, switch between the kanban and list views, click New and give the product its name, favourite star and photo. Everything after this step happens on the form that opens. 4 min Create a product and choose where it is used

General Information tab

  1. 03 Product Type, Track Inventory and Quantity On Hand Goods, Service or Combo, and whether stock is tracked. Consumables such as screws and cleaning chemicals stay untracked; profiles, hinges and finished windows are tracked; services never touch stock; combos bundle choices and price themselves. 8 min Choose the product type and track its inventory
  2. 04 Design Type None for materials; FrameStudio Designer for aluminium and uPVC windows and doors, which then show the Edit Design button on the sales order; Template Design, set by itself when a saved design becomes a reusable product, filed under the right category. 6 min Link a product to the FrameStudio designer or a design template
  3. 05 Invoicing Policy, prices, taxes, Category and Price Engine Ordered quantities for window and door factories, the Sales Price and its unit, Sales Taxes, Cost, Purchase Taxes, the Category that decides costing and journal entries, and the Price Engine that prices a design from its area, dimensions, colour, glass and options. 7 min Set the price, cost, taxes, invoicing policy and price engine
  4. 06 Reference, Barcode, Warranty and WebCC Coupler Profile The internal reference for quick searching, the barcode for scanning, the warranty in months that every installed unit inherits at handover, and the coupler flag that offers a joining profile to the designer. 5 min Set the reference, barcode, warranty and coupler flag

  1. 07 Attributes, Configure and the attribute settings Selectable options such as type and colour, never profile sizes. Purchase tab

  1. 10 Vendor list, Control Policy, Purchase Description Vendors with unit, price, currency and lead time, added by WindoorERP itself when purchase orders are confirmed; the rule that minimum and maximum quantities only work with at least one vendor; the bill policy on ordered or received quantities; and the technical supplier description. 6 min Fill in the Purchase tab: vendors, bill control and description

Back on the form: the stock buttons

  1. 13 Product Forecast and Time to replenish On hand plus incoming minus outgoing equals forecasted, the time to replenish that shows the total lead time for the product to arrive in your store, and the documents and moves behind the other buttons. 5 min Read the stock buttons and the product forecast
  2. 14 Reordering Rules: location, trigger, minimum and maximum From the Reordering Rules button, click New, specify the location the rule applies to, set the Trigger to create purchase orders automatically when stock drops below the minimum or manually from the Replenishment report, and define the minimum and maximum quantities. 5 min Set reordering rules from the product
  3. 15 Putaway Rules: from the main warehouse to the target location From the Putaway Rules button: select the main warehouse location, the product, and the target location. The rule sends every future receipt of the product to that location; it does not move what is already in the warehouse. 5 min Send a product to its shelf with a putaway rule
